Radnor Crew Hospitality: Fueling Our Team, Building Our Community
Radnor Crew Hospitality is a collective effort that supports both the Radnor Boys and Girls Crew Clubs (RBCC and RGCC) by providing nourishment for our athletes, coaching staff, and families during selected fall and spring regattas. More than just food, hospitality is how we show up for our crew; it’s how we transform a patch of grass on the edge of a race course into a second home for the race day.

At the heart of it all is our hospitality tent, a shaded, welcoming space where rowers rest, refuel, and reconnect during the race day. For younger athletes, who aren’t yet driving, it’s especially a place they rely on throughout long race days. For families, it’s a spot to gather, chat, and most importantly, cheer together as our athletes fly down the course.

If you’re new to Radnor Crew - not to worry - no experience needed! You’ll get guidance, and plenty of veteran parents are happy to help show you the ropes. Hospitality is a great way to get to know the team and fellow families.

How It All Comes Together
Simple: YOU. Radnor Crew Hospitality is 100% parent volunteer driven. Each time we plan to host hospitality, we send out a signup link for essential jobs and food donations. Without sufficient volunteers at each race we are unable to offer we are not always need helping hands and special contributions.
Here’s what makes it work:
-
Preparation - the week before each regatta, volunteers put together a menu and shop for food, which is paid for with dues.
-
Chuckwagon Tow - Someone tows our hospitality trailer to and from the race. This is the most critical role - without the chuck wagon we don’t have the tents or tables. We need both a morning and an evening towing volunteer. We train all volunteers on how to handle the chuck wagon - so if you have a car with a hitch, please consider volunteering for this important role.
-
Setup & Breakdown Teams - Morning and afternoon volunteers set up tents and tables, and then break them down. We need to know these roles are filled well in advance of the rower schedule, which can come out the day before a race. For the races you volunteer, please consider committing to these important roles.
-
Grillers & Servers - Parents prepare and serve hot meals on-site. These are often fun roles but require some advance planning to ensure there is enough food for all, and not too much waste at the end of the day.
-
Coordinators - AM and PM leads ensure everything runs smoothly and meals are timed right.

It’s a full-day effort—but a critical and rewarding one. The old adage is true ; "Many hands make the load light". You’ll feel the sense of community grow as we all pitch in, share the work, and cheer our athletes on together.

What’s the Commitment?
We need at least 10 volunteers for every race where we offer hospitality. To make this possible - and to ensure the same families aren’t carrying the load each time - we ask that every family commits to at least (3) three essential jobs across two different races. Many families do more, and we’re always grateful!

What If Hospitality Isn’t Offered at a Race?
When we don’t have enough volunteers signed up, we are unable to offer hospitality. We’ll let you know in advance. In those cases, parents/guardians are responsible for bringing food and drinks for their athletes.
